Booking, Deposit & Cancellation Policies

(Effective January 1, 2026)

At Within Arms Reach, each appointment is reserved with care, intention, and preparation. The following policies are designed to support consistency, mutual respect, and availability for clients who are committed to their well-being and self-care.

Over the past year, I’ve experienced an increase in cancellations and reschedules. These updates help ensure that appointment times are honored, energy is respected, and care remains sustainable for everyone involved.

Booking Deposits

Beginning January 1, 2026, a $50 non-refundable deposit is required to reserve each appointment.

  • The deposit is applied toward your total at checkout.

  • If you schedule multiple appointments in advance, a separate deposit is required for each appointment, as each time slot is reserved exclusively for you.

  • Deposits are non-refundable but may roll over per the cancellation policy outlined below.

Deposit Exemptions for Loyal Clients

The deposit requirement does not apply to long-term, consistent clients with a demonstrated history of reliability—showing up consistently, rarely canceling, and typically rebooking in-office or having an established, revolving appointment.
This is a small thank-you for your ongoing trust, commitment, and care for your wellness journey.

Cancellation & Rescheduling Policy

More Than 14 Days’ Notice

  • Your deposit rolls over to your next appointment.

  • To ensure any existing deposit is applied correctly, please contact me directly to reschedule rather than booking online.

​

Within 14 Days of Your Appointment

  • Your deposit is forfeited.

​

Within 24 Hours of Your Appointment

  • A 90% cancellation fee will be charged.

  • Any deposit already paid is applied toward this amount (not charged in addition).

No-Shows

  • A 100% fee will be charged.

  • Any deposit already paid is applied toward this amount.

​

**Important Note About Online Scheduling**

If you choose to book a new appointment online, the scheduling system will automatically require the $50 deposit.

At this time, the system is unable to:

  • identify loyal or deposit-exempt clients

  • recognize previously rolled-over deposits

​

If you are eligible for a deposit waiver, you’re always welcome to:

  • rebook in-office, or

  • contact me directly so I can schedule your appointment manually and waive the deposit.

​

One-Hour Session Availability

Hour-long sessions are offered on a limited basis only and are used to:

  • fill short-notice scheduling gaps

  • accommodate last-minute cancellations within a four-week window

​

This is a change that has been communicated over several months, and I previously shared a blog post explaining the reasoning behind this shift in greater depth.

​

Moving forward, regularly booked sessions are 90 minutes or longer, allowing for the depth, continuity, and therapeutic effectiveness this work requires.

Pricing Note

Because of these updated scheduling and deposit policies, I have chosen not to implement an annual price increase for 2026.

My hope is that these changes support consistency and mutual respect while keeping care accessible for those who value and commit to this work.
